Competition for the position of Program Assistant to Support Project Implementation

East Europe Foundation announces a vacancy for a Program Assistant to support project implementation.

Location: Kyiv, Ukraine.

Start date: August 2026.

Application deadline: July 31, 2026.

Work format: Hybrid.

Key Duties and Responsibilities:

  • support the day-to-day implementation of the program, including preparing plans and reports;
  • search for and analyze information for research purposes;
  • collect data on project activities and update databases and registers;
  • prepare drafts of letters and other documents;
  • draft terms of reference in coordination with project managers;
  • verify the results of services provided and work performed by contractors;
  • organize online and offline meetings;
  • maintain working notes, including follow-up actions after meetings;
  • manage project document workflow, including collecting, archiving, and regularly updating documents;
  • receive / send / sign / scan / organize documents, etc.;
  • review primary accounting documents;
  • assist in organizing program events (meetings, conferences, round tables, training events, working visits, and business trips) and provide logistical support;
  • communicate with potential suppliers and project partners;
  • assist in coordinating drivers / vehicles and postal shipments.

Qualifications and Experience:

  • Bachelor’s degree (or equivalent) in management, public administration, social sciences, economics, or another relevant field.
  • At least 1 year of relevant professional experience.
  • Proficiency in PC use and MS Office and Google Drive tools.
  • Good communication skills in Ukrainian and English.
  • Proficiency in English will be an advantage.
  • Experience working in the civil society sector and/or international organizations will be an advantage.
